Executive Assistant (Remote, South Africa)

About the Role

Sweet Robo builds robotic vending machines that are half product, half show. A robotic arm that spins cotton candy into shapes in front of you, machines that sell everything from ice cream and popcorn to custom branded souvenirs. IKEA, Universal Studios, Marriott Hotels and Harvard University already run our machines in their stores, parks, lobbies and events.

We are hiring a Remote Executive Assistant based in South Africa to work directly with our leadership team in New York. This is not a role where you wait to be told what to do. It is a role for someone who learns how one person works, protects their time, anticipates what they will need next, and quietly removes things from their plate before they become a problem.

You will see a lot: suppliers, candidates, calendars, contracts, internal conversations. Discretion is not a nice-to-have here, it is the foundation of the job.

What You'll Do

• Manage the inbox and calendar: prioritize, draft replies, schedule, protect focus time, and make sure nothing falls through
• Handle research and comparisons: find suppliers, gather quotes, build a short summary with a clear recommendation
• Support recruiting: review applications, organize candidates, schedule interviews, keep the pipeline moving
• Prepare documents, reports, presentations and meeting materials
• Coordinate with our teams in Brooklyn, Texas, Poland and China across time zones
• Track open items and follow up with people until things are actually closed
• Build simple playbooks for recurring processes so they run the same way every time

What We're Looking For

• Previous experience as an executive assistant, personal assistant, operations coordinator or similar support role
• Excellent written and spoken English. You will write on our behalf to suppliers, customers and candidates every day, and your writing has to be clean without anyone checking it
• Genuinely organized. You keep lists, you follow up, you do not lose things
• Proactive by nature. When a quiet hour appears, you find the next useful thing instead of waiting
• Comfortable making small decisions on your own and knowing exactly where the line is
• Discreet with confidential information, always
• Reliable internet, a quiet place to work, and a computer you can depend on
• Based in South Africa and able to work New York business hours

Working Hours

Our leadership and our main team work New York hours. South Africa is roughly 6 to 7 hours ahead, which in practice means an afternoon to late evening shift for you. Please be honest with yourself about this before applying. It is the single most common reason a remote role like this does not work out, and we would much rather know now than in month two.

Compensation

• $2,000 per month
• Full-time, fully remote
